itle: Part-Time Remote Sales & Operations Coordinator Company: Axis Medical Consulting Location: Remote (preferred availability during Central Time business hours) Hours: 10–15 hours per week (W2 employee) About Axis Medical Axis Medical is a growing medical equipment distributor serving hospitals and surgery centers across Alabama, Mississippi, and West Tennessee. We provide surgical tables, lights, booms, sterilization equipment, and related services that help hospitals run efficient, safe operating rooms. We are a small, fast-moving team that values accountability, follow-through, and doing right by our customers. Role Overview We are looking for a part-time, remote Sales & Operations Coordinator to support the day-to-day operations of the business. This role focuses on invoicing, light collections, quoting, purchase orders, travel booking, and scheduling for our field team. This is a good fit for someone who enjoys organizing details, closing loops, and supporting a field-based team in a consistent 2–3 hour per day rhythm. Key Responsibilities: Billing, Invoicing & Collections • Create and send customer invoices in QuickBooks based on information from the owner and service team. • Track open invoices and send professional follow-up on past-due accounts. • Help keep customer records, payments, and basic AR reports organized and up to date. Quoting & Purchase Orders • Prepare simple quotes using existing templates and vendor price lists. • Convert accepted quotes into basic sales orders where needed. • Create and send purchase orders to suppliers and track order status through delivery. Customer Scheduling & Coordination • Monitor email and incoming requests from customers for service, installs, and meetings. • Coordinate with the field team to schedule visits and confirm details with customers. • Capture and document key information so technicians and reps arrive prepared. Travel & General Support • Book flights, hotels, and rental cars within agreed guidelines. • Register team members for vendor trainings and conferences when needed. • Assist with general administrative tasks such as file organization, updating lists, and formatting documents. Process & Organization • Maintain organized digital folders and records so information is easy to find later. • Help standardize templates for quotes, invoices, and customer-facing emails. Work Schedule & Expectations • Approximately 2–3 hours per weekday, 10–15 hours total per week. • Regular availability during standard business hours in the Central Time zone to respond to customers, vendors, and the internal team. Qualifications • 2+ years of experience in an administrative, billing, operations, or coordinator role. • Experience with QuickBooks or similar accounting software. • Strong skills with bolthires Office or bolthires Workspace (email, spreadsheets, documents). • Experience with invoicing, quoting, or purchase orders is a strong plus. • Prior experience in healthcare, distribution, or a small business environment is helpful but not required.
